Work Hours/Shift: Monday - Friday 8am - 4:30pm
You Will Be Responsible For:
Supervises other clerical and administrative staff and ensures effective administrative and departmental operations including but not limited to ordering of office supplies, maintenance of equipment (repair and preventative), supervise and coordinate the daily activies and operations of the office or department. Participates in the interviewing, hiring, and orientation process for clerical/administrative staff. Ensures staffing levels are appropriate to ensure accurate and timely work completion. Stays within labor tracking guidelines. Develops, implements and revises work methods and procedures.
Completes Payroll adjustments, employee bonuses, run and manage necessary reports for tracking of payroll accuracy.
Provides administrative support to Nurse Managers and Directors, including, but not limited to, maintaining computer databases, excel spread sheets, program coordination, meeting scheduling, room scheduling, meeting minutes. Facilitate a multitude of responsibilities for Nursing Units (as needed).
Updates employee lincensure and certificates, organizing nursing databases.
Ability to work proactively and independently showing initiative and problem-solving skills consulting with administration as appropriate for situations outside authority or expertise.
Supports nursing administration in accreditations not limited to but including the Magnet designation.
Runs reports as needed from HUB to assist in maintenance of department statistics and executes special projects as assigned by Office Manager and Director. Assists in maintenance of employee files.
Processes access and service request for nursing leadership and staff.
Communicates with customers professionally. Answers telephone within three rings in a polite courteous manner and allows the caller to present themselves before placing a call on hold. Responds back to messages on the answering machine in a timely manner. Maintains good relationships with physicians, management, other departments, and staff.
Evaluates and follows up on customer complaints and takes appropriate action to ensure a positive outcome. Involves Leadership as needed to resolve conflicts.
Performs other duties as assigned or directed to ensure smooth and efficient operations of the department. May include covering the duties of other secretarial roles within the department.
KNOWLEDGE AND SKILLS REQUIRED:
Ability to communicate by reading, writing legibly, speaking and comprehending English effectively in order to carry out job requirements.
Must be proficient in Microsoft Word and Excel.
Must be able to type at least 25 wpm.
Excellent communication and interpersonal skills.
KNOWLEDGE AND SKILLS PREFERRED:
Knowledge of Powerpoint, Surgery Computer Systems and other graphics and database programs desirable.
EDUCATION AND EXPERIENCE REQUIRED:
One year professional secretarial, physician office or hospital experience required.
